FindRapidly Ltd. ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share your personal information when you use the FindRapidly platform (the "Platform").

By using the Platform, you consent to the practices described in this Policy. We process your data in compliance with the Data Protection Act, 2012 (Act 843) of the Republic of Ghana.

1. Information We Collect

a) Information You Provide

  • Account information: name, email address, phone number, password, region, and preferred language.
  • KYC verification: full legal name, national ID number and document scan, residential address, GPS address, portfolio images, certificates, emergency contact, and guarantor details.
  • Profile information: bio, skills, specializations, rate, availability, and profile photo.
  • Payment information: mobile money number or bank account details for receiving payouts.
  • Communications: messages exchanged with other users through the Platform, and correspondence with our support team.

b) Information Collected Automatically

  • Device and browser: IP address, browser type, operating system, and device identifiers.
  • Usage data: pages visited, features used, search queries, and time spent on the Platform.
  • Location: approximate location derived from IP address or, with your consent, precise GPS location for finding nearby artisans.
  • Cookies: session cookies for authentication and preferences. See Section 7 below.

2. How We Use Your Information

We use your information to:

  • Create and manage your account.
  • Verify your identity (KYC) to prevent fraud and comply with regulations.
  • Connect customers with artisans and facilitate job bookings.
  • Process payments, hold escrow, and issue payouts.
  • Display your profile to other users (artisan profiles are public; customer details are shared only with hired artisans).
  • Send transactional emails (job updates, payment confirmations, verification codes).
  • Improve the Platform through analytics and usage patterns.
  • Enforce our Terms of Service and protect against fraud or abuse.
  • Comply with legal obligations.

3. How We Share Your Information

We do not sell your personal information. We share it only in these circumstances:

  • With other users: When you are matched for a job, your name, phone number, and relevant profile information are shared with the other party. Artisan profiles (name, skills, ratings, portfolio) are publicly visible.
  • Payment providers: We share necessary transaction details with our payment processing partners to facilitate payments, escrow, and payouts.
  • Service providers: We use third-party services for email delivery, file storage, search indexing, and analytics. These providers process data on our behalf under strict confidentiality agreements.
  • Legal requirements: We may disclose information if required by law, court order, or government regulation, or to protect the rights, property, or safety of FindRapidly, our users, or the public.
  • Business transfers: If FindRapidly is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction.

4. Data Retention

We retain your personal data for as long as your account is active and for a reasonable period afterward to fulfill legal, accounting, and reporting obligations. Specifically:

  • Account data is retained for the lifetime of your account plus 2 years after deletion.
  • KYC documents are retained for 5 years after account closure, as required for anti-fraud compliance.
  • Transaction records are retained for 7 years for financial and tax reporting.
  • Messages are retained for 1 year after the associated job is completed.

When retention periods expire, data is securely deleted or anonymized so it can no longer be associated with you.

5. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encryption of data in transit (TLS/HTTPS) and sensitive data at rest.
  • Secure password hashing using Argon2id.
  • Two-factor authentication via email OTP for all logins.
  • Access controls limiting employee access to personal data on a need-to-know basis.
  • Regular security reviews of our infrastructure and code.

While we strive to protect your data, no method of transmission or storage is 100% secure. You are responsible for keeping your login credentials confidential.

6. Your Rights

Under the Ghana Data Protection Act, 2012, and applicable regulations, you have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your data, subject to legal retention requirements.
  • Restriction: Request that we limit how we process your data in certain circumstances.
  • Data portability: Request your data in a structured, commonly used format.
  • Objection: Object to processing of your data for direct marketing purposes.

7. Cookies

We use cookies and similar technologies for:

  • Essential cookies: Authentication, session management, and security. These are required for the Platform to function.
  • Preference cookies: Remembering your language and display preferences.
  • Analytics cookies: Understanding how users interact with the Platform to improve our services.

You can control cookies through your browser settings. Disabling essential cookies may prevent you from using certain features of the Platform.

8. Children's Privacy

The Platform is not intended for use by anyone under 18 years of age. We do not knowingly collect personal information from children. If we discover that we have collected data from a child, we will delete it promptly.

9. International Data Transfers

Your data may be processed on servers located outside Ghana for purposes of hosting, analytics, and email delivery. When data is transferred internationally, we ensure appropriate safeguards are in place, including contractual protections consistent with the Data Protection Act.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Platform. The "Last updated" date at the top of this page indicates when the Policy was last revised. Continued use of the Platform after changes take effect constitutes acceptance.
